ST. PAUL PTO BOARD OF DIRECTORS POSITION DESCRIPTIONS

President: The President is the chief executive officer of the PTO and presides at all PTO meetings. The President serves on the Executive Committee.

Vice President: The Vice President acts as an aide to the President. The Vice President serves on the Executive Committee.

Secretary: The Secretary keeps the minutes at the PTO meetings. The Secretary serves on the Executive Committee.

Treasurer: The Treasurer is responsible for keeping the books of the PTO, paying the PTO bills and preparing financial statements for the PTO for each board meeting. The Treasurer serves on the Executive Committee.

Advisor: The Advisor is a past Executive Committee Member who assists the President as needed. The Advisor serves on the Executive Committee.

Birthday Book Program Coordinator: The Birthday Book Program Coordinator is responsible for administering the school’s Birthday Book Program, including maintaining and updating the class wish lists and providing recognition for the donors.

Book Fair: The Book Fair Coordinators are responsible for organizing two Book Fairs that are held at the school each year.

Christmas Bazaar: The Christmas Bazaar Chairpersons coordinate the various Bazaar tables and oversee the organization and planning for the Bazaar. Each Chairperson serves a two-year term, with a new co-chairperson rotating in each year.

Class Party Night Coordinators: The Class Party Night Coordinators are responsible for finding hosts and assisting in organizing the parties for each class held on a single evening in the fall.

Contribution Program Coordinator: The Contribution Program Coordinator is responsible for coordinating Box Tops for Education, printer cartridge recycling and other corporate giving programs which contribute to the school.

Directory: The Directory Coordinator is responsible for the compilation and publishing of the annual St. Paul School Directory each fall.

Fall Magazine/Catalog Sales: The Fall Magazine/Catalog Sales Coordinators are responsible for coordinating the distribution of sales materials and the collection of the money in connection with the sale of magazine subscriptions and wrapping paper and giftware.

Family Portraits: The Family Portraits Coordinator organizes a fall Family Portrait day fundraiser in the fall.

Grandparents’ Luncheon: The Grandparents’ Luncheon Coordinator organizes the catering, decorating, serving and clean-up for the annual Grandparents’ Luncheon held each year on the Friday before First Communion.

Guardian Angels: The Guardian Angel Coordinators match up new St. Paul School families with “experienced” school families each fall so that the new families have a resource to turn to with questions about the school.

Harvest Dance: The Harvest Dance Coordinator is responsible for coordinating, setting-up and handling all the details relating to our Fall Family Harvest Dance.

Hospitality: The Hospitality Coordinators and Committee are the school’s “hostesses with the mostest.” They are responsible for organizing, setting up, cleaning up and baking for Back-to-School Night, Fine Arts Night, and various other coffees and open houses throughout the school year. They also work with the Recognitions Chairperson to coordinate food gifts to school families in times of illness, death or the birth of a child. Workers are also needed for hospitality throughout the year to be called upon for cooking and to assist with functions. If you do not wish to sit on the Board but would like to assist the Hospitality Committee during the year, please sign up.

Library: The Library Coordinator oversees the staffing of parent volunteers for the school library.

Members-at-Large: Members-at-Large attend Board meetings and offer input on Board matters. They are not assigned specific duties but will be called upon to assist other Board members as needed.

Pot O’ Gold: The Pot O’ Gold Coordinators organize the annual Pot O’ Gold Raffle held during the month of March, including printing tickets and organizing sales after Masses and through school families.

Publicity: The Publicity Coordinators are responsible for informing local newspapers of school activities throughout the year and of Open House/Registration during Catholic Schools Week in January.

Recognitions: The Recognitions Coordinator serves as the PTO’s social envoy, sending cards, Mass Cards and flowers to school staff and families as occasions arise.

Room Mother Coordinator: The Room Mother Coordinator serves as a liaison between the school staff and the room mothers in each grade, and coordinates the solicitation each spring of room mother volunteers for each class for the following year.

School Beautification: The School Beautification Coordinators are responsible for helping to keep the school grounds attractive by helping to plant and tend gardens.

Scrip Program Coordinators: The Scrip Program Coordinators are responsible for administering the school’s sale of scrip (gift) cards from various merchants.

Spring Fundraiser: The Spring Fundraiser Chairpersons coordinate the dinner dance and auction to be held in the spring, including solicitation of auction donations. In the past, this event was held in conjunction with a golf/tennis tournament. This will be our first year trying something slightly different.

Thanksgiving Pie Sale: The Thanksgiving Pie Sale Coordinators organize the fall pie sale fundraiser.
